Local & private AI · practical answers
Can AI answer questions about our private documents?
Scope and starting price
Choose the relevant service below. We confirm the systems covered, checks and final price before work begins. Additional work and third-party costs need to be included in the agreed quote.
Private Document Q&A
Custom quote
A quoted question-and-answer workflow over an agreed private document collection.
Local & Private AI servicesRAG / Local Knowledge
Custom quote
A quoted local search-and-answer system, including the agreed document ingestion and retrieval approach.
Local & Private AI servicesDefine what a good answer looks like
Choose a small set of questions staff genuinely need answered: where a procedure is recorded, which version applies, or what a policy says about a particular situation. Include questions that the documents cannot answer. This gives the project a meaningful check beyond producing fluent text.
The proposed output should let a person inspect the source passage or document. Agree what the system should do when information is missing, contradictory or out of date, and who will decide whether an answer is good enough for the intended use.
Keep the data boundary explicit
Specify where original files, extracted text, search indexes, model processing and conversation logs may be stored or processed. A local chat model does not by itself settle the behaviour of every other component.
Separate teams may need different access. Agree whether the first scope is a single-user tool or a shared service, which collections each user can access, and how documents are removed or replaced. Use sample material for the first discussion rather than sending a complete confidential archive.

Why is this custom quoted?
A clean folder of text documents is a different project from scanned PDFs, mixed file types, several user groups or a live connection to another application. Document preparation, access controls and evaluation determine the work.
The quote should identify the collection, allowed formats, update process, expected users and acceptance examples. Extra integrations, optical character recognition and ongoing operation should be named explicitly if they are needed.
Is this the right fit?
A good fit when
- Your team repeatedly searches an identifiable collection of internal information.
- You can appoint someone who knows the documents and can review sample answers.
Limits of the scope
- The scope does not imply perfect answers, automatic legal or professional judgement, or unrestricted access to all company files.
- Model training, complex document cleanup and third-party integrations are included only when explicitly quoted.
What to prepare for an enquiry
- Approximate file counts, formats, languages and how often the collection changes.
- A few non-sensitive or redacted sample documents and representative questions.
- Who should have access, where processing may happen, and who will approve answer quality.
Start with a description and non-sensitive examples. Leave out passwords, API keys, private keys, recovery codes and customer data. Access arrangements are agreed separately if the work needs them.
Common questions
Does the model need to be trained on our documents?
Not necessarily. A search-and-answer approach can retrieve relevant passages for the model at question time. Whether that suits the task should be established with a small collection and examples before a wider project.
Can it handle scans and old PDFs?
Possibly, but text extraction and document quality need to be checked first. Scans can add preparation work, so identify them when asking for a quote.
Will every answer be correct?
No. Require visible sources, test questions and a clear way to handle missing evidence. People should verify answers before using them for consequential decisions.
